The venue booking process in Istanbul, step by step

Booking an Istanbul congress venue follows a sequence the venues themselves expect: a dated request for proposal, a provisional hold, a site visit, then contract. For a major congress the whole cycle takes two to four months; a corporate event in a hotel ballroom can close in two weeks. The eight steps below cover both, with the Istanbul-specific details marked.

  1. Fix your numbers before contacting anyone

    Venues quote against three inputs: plenary seat count, number and size of breakouts, and net exhibition square meters. Get them from your program, then check them against the capacity comparison table so you only approach venues that physically fit.

  2. Send a structured RFP to two or three venues
